Dealer & Distributor Back-Office · Full Build and Integration

Every chassis, from allocation to handover, in one system.

Stock by unit, the booking pipeline, service and parts, commission and month end. Built for motor dealers, distributors and multi-branch groups, and wired into the accounting, credit and messaging services you already pay for.

From

RM 5,500/ month

Built now, paid monthly. No lump sum at signing.

The situation

The cars are tracked. The paperwork is not.

None of that is a shortage of software. It is a stack of tools built for shops that sell boxes, running a business that sells serial numbers.

  • A unit is allocated in one sheet, booked in another, and nobody is certain which variant and colour the customer actually signed for.
  • Aged stock surfaces at month end, after the floor-plan interest on it has already been paid.
  • The loan is approved, then insurance, road tax and registration are chased by phone and WhatsApp until the handover date slips.
  • Salesperson commission is rebuilt by hand every month, and disputed most months.
  • Head office asks what is on the ground across every branch, and the answer takes two days to assemble.

What gets built

Whatever the operation needs, built for it.

Nothing off the shelf, and nothing you have to bend the business around. The system is designed against how you already work.

Stock by chassis

Every unit tracked on its own: on order, in transit, in stock, allocated, invoiced, registered. Variant, colour and chassis number attached to the record, with ageing and floor-plan cost visible per unit rather than discovered later.

Dealers · Distributors · Multi-branch

Booking to handover

The pipeline from deposit to keys: booking and variant selection, trade-in valuation, financing submission, insurance and road tax, registration paperwork and delivery date. Everyone sees where a deal has stalled and who it is waiting on.

Sales · Admin · Finance

Service, parts and warranty

Job cards, service reminders by date and mileage, parts issued against a job and reordered from the principal, and warranty claims tracked through to reimbursement rather than into a folder.

3S and 4S centres

Margin, commission and month end

Unit margin after trade-in, reconditioning and floor-plan interest. Commission worked out from the same figures the deal was closed on, and a month end that reconciles because the numbers were never in five places.

Third-party integration

Your system talks to everything you already pay for.

Integration is where most builds quietly fail. It is the part we do most.

Accounting & e-invoicing

A vehicle invoice has to reach your books and LHDN's MyInvois without being keyed a second time.

  • LHDN MyInvois
  • SQL Accounting
  • AutoCount
  • Xero
  • QuickBooks

Credit & verification

Check an applicant before the booking is taken rather than after the unit has been held for a fortnight.

  • CTOS credit reports
  • CTOS scoring
  • Identity & document checks

WhatsApp & messaging

Booking status, delivery dates and service reminders that reach customers where they actually read them, sent by the system rather than by a person.

  • WhatsApp Business API
  • Telegram
  • SMS gateways
  • Transactional email

Payments & deposits

Take booking deposits and service payments the way your customers already pay, and have them reconcile themselves.

  • iPay88
  • Billplz
  • senangPay
  • FPX
  • Stripe
  • Touch 'n Go
  • GrabPay
  • Boost

Financing & insurance workflow

Submissions, approvals and renewals held as tracked steps with their documents attached, so a stalled application is visible instead of remembered. Where a panel provides an interface, we connect to it; where it does not, we remove the retyping around it.

  • Hire purchase submissions
  • Insurance quotes & renewals
  • Road tax renewals
  • Document generation

Not on the list? If it has an API, it can be integrated. If it has no API, we have other ways in — ask.

The commercial terms

From RM 5,500 a month.

The system is delivered as a project, scoped, designed, built, tested and rolled out. The monthly figure is how it is paid for, not what it buys. Instead of a lump sum at signing, the cost is spread across an agreed term.

01

Scope sets the term

A single-branch sales and stock system and a group running sales, service, parts and warranty across several outlets are not the same build. The scope decides the term, and you see both before you commit.

02

Nothing is quoted blind

The first consultation is complimentary, and it is a working session rather than a pitch. We go through how units actually move through your business before anyone puts a number on it.

03

You own what we build

Source code, database and documentation are handed over on completion. We stay on support because you want us there, not because leaving is difficult.

How it is delivered

Seven stages, unchanged since 2020.

The same process behind every system the firm has shipped. It opens with a complimentary consultation, and it does not end at roll-out.

  1. 01

    Technical Discovery

A free first session to fix scope, constraints and cost.

  2. 02

    Domain & Systems Analysis

How your sector works, and what you already run.

  3. 03

    Solution Architecture

The shape of the system, settled before any code.

  4. 04

    Interface & Interaction Design

Screens drawn around the task, not the org chart.

  5. 05

    Engineering Build

Written by senior engineers, reviewed on every change.

  6. 06

    Verification & Testing

Tested against the real cases, not the happy path.

  7. 07

    Deployment & Support

A staged cutover, then retained engineering.

Before you ask

The questions that always come up.

We already have a DMS. Why replace it?
Often you should not. If the dealer management system does the core well and the pain is everything around it, the right build is the layer that connects it to your accounting, your credit checks and your customers. We will say so at the first meeting rather than quote you a replacement.
Can it handle more than one branch?
Yes, and it is usually the reason the build is worth doing. Group-level stock visibility, inter-branch transfers and one consolidated month end are ordinary requirements here, not extras.
Who owns the code?
You do. The source code, the database and the documentation are handed over on completion of payment. There is no licence to keep renewing for access to your own operation.
Who actually builds it?
A small, highly experienced and senior team. Nothing is handed down to a junior bench, and the engineers who scope the work are the ones who write the code.
How long does it take?
Scope decides it, and you get the number before you commit rather than after. The riskiest part is built first, so if something cannot be done well you learn it early enough to change course.
What happens to the way we work now?
The new system runs beside the old process until the two agree on every figure. Nobody stops selling cars while it is switched over, and you name the day the old way is retired.
